Hywel Dda Post

A patient hub to manage your health care appointments. 

We are introducing a new way to help you manage your appointments online. “Hywel Dda Post” is a new way for us to notify you when you have an outpatient appointment with us.  

What is Hywel Dda Post?  

Hywel Dda Post is a secure online website to access your appointment information by using your smartphone, tablet, or computer. You will be able to sign-in and view your outpatient appointment details and download your letter. You can also request a callback to reschedule your appointment if the date and time is not convenient for you.  

If you are due an outpatient appointment, you will receive a text message or an email with a secure link where you can access and view your appointment. There is no need to register for an account as the account is created for you by us. You can choose to opt out of this at any time. Please see our frequently asked questions for how to do this.  

Benefits in using our new method:  

  • Hywel Dda Post will allow you to receive your outpatient appointment details within 24 hours. 
  • If you choose not to engage with the hub a letter will be posted out automatically after 72 hours of the first notification being sent to you.  
  • You can continue to view your appointment details online and can download a copy of your letter onto your own device. 
  • If the appointment is not convenient for you, you can click on the rebook option to request a call back from our Contact Centre team. The team will aim to contact you by telephone within 48 hours to arrange a new date and time for your appointment. 
  • Each service will state what you need to bring to your appointment, such as a list of your medication(s). 
  • Each appointment can provide to information to help you plan your journey. This could be travel information, parking details and Google Map navigation to your appointment location. 
  • You can save your appointment on your devices calendar, and set appointment reminders. Reminders help from reducing missed appointments. 

Why are we doing this? 

We are offering more communication methods to our patients to provide, faster, flexible, and convenient appointments. This enables us to concentrate on improving waiting list times and reduce the number of missed clinical appointments. 

By offering you this service through a user friendly website, you will receive your appointment details earlier than you would receive it in the post. 

By reducing our printing and postage, we are saving administrative staff time and reducing our carbon footprint.  

What is the Hywel Dda Post hub?  

It is a secure website where you will be able to access your appointments and related letters online by using your smartphone, tablet device, or computer. 
 
You will be able to provide your language preference of Welsh or English. The Hywel Dda Post hub will help you manage your appointment information, by telling us if you can attend, need to re-book or cancel your appointment.  

 

Why am I being offered this new service? 

We wish to improve communication with patients to meet your communication needs. This service helps you to access your appointment details as quickly as possible and  gives you the ability to tell us if you can attend your appointment or not.  

 

What if I do not want to access the online service?  

You will not be required to do anything.  We will continue to send you letters in a paper format through the post. 

Do I need to create an account? 

No, we will create an account for you. When a new appointment or a follow up appointment has been set up for you through the Hywel Dda Post hub, your first invitation will be via a text message or an email.  

Your message will include a secure link to the Hywel Dda Post hub for you to access and view your appointment information online safely and securely.          
 

How can I check the link in the text message or email is trustworthy? 

The “S” at the end of “http” at the start of the web address means that it is a secure site. You will also see a locked padlock in the website address bar, which means that the site is secured.

What happens if I don’t click on the link? 

If you do not click on the link within 48 hours, your appointment letter will automatically be sent to you through the post (Royal Mail).  If you do not want to use the Hywel Dda Post hub, we will continue to send your appointment letters through the post.

 

What other ways can I access Hywel Dda Post hub? 

You can access Hywel Dda Post hub from the link in your text message or email. You can also access the hub by the following links below:

Please note that patients with a new or a follow-up appointment will only get these notifications.

 

What do I do once I clicked on the link?  

Once you have clicked on the link in your email or text message it will be prompt you to follow the instructions below: 

  1. Click on the link and enter either your mobile number or email address and date of birth when prompted. Please enter your date of birth in the following format: DD/MM/YYYY 
  2. You will then be sent a 6-digit authentication code* by text message, or by email if we don’t have your mobile number.  

    *Please note that your authentication code will expire after 2 minutes and 30 seconds. If the code has expired, you will need to go back to the message and click on the link again.  
     
  3. Once you receive the authentication code, please enter it into the boxes of the secured page. 
  4. Once logged in, you will arrive at a home page where you will see the following squares: Appointments, Letters, Profile and Logout. 

 

What happens if I do not respond to the text message link or authentication code I receive? 

If you do not click on the link and access the Post hub after 48 hours, your appointment letter will be posted to you. 

What information will I get from the Hywel Dda Post hub? 

The Hywel Dda Post hub allows you to view your appointment details, appointment letters, and any messages. You can rebook or cancel your hospital appointments by clicking on the buttons provided. 

Appointments can also provide you information to help you plan your journey. This could be travel information, parking details and Google Map navigation to your appointment location, or information and notifications about your appointment. It will provide any cancellation details. 

To select your letter option, you will need to click the profile square, select your accessibility needs and untick your notifications for text message and email off. This will print your letters and stop notifications.

If you wish to continue to use the hub and keep your notifications, you can use the  following features:  

  • “Read aloud” to enable audio format; 
  • “Zoom” function to increase the size of the text on the screen; 

 

Can I select my language preference as Welsh or English?

Yes, when you first receive a notification via a text message or an email, you will be provided with two links.  One will be an English link and one will be a Welsh link to the Hywel Dda Post hub.  By clicking on either English or Welsh link, the hub will identify which language you wish to continue with.

You can change your language preferences by selecting the drop-down bar that is located at the top of your screen.  You can also change your language choice under your profile tab.
 

Why can I access text and emails for appointments for some services and not others? 

In the future, all services will be able to send appointments and letters electronically, but this will be introduced over time. Not every service is going live at the same time. 

 

How do I access Hywel Dda Posts if I have accidentally deleted the text message from my phone?

Can everyone use Hywel Dda Post? 

Yes, it is accessible to anyone with a smartphone, computer or tablet device and is available to people over the age of 18. 

Where will I find my appointment information? 

Within the Post hub you will see an option called “Appointments.”  When you click on this option you will see three further tabs: 

  • New appointments which have not yet been confirmed. 
  • Current all outstanding appointments for which you have confirmed attendance. 
  • History all past appointments, including those cancelled. 

 

A new appointment has been sent to me, what do I do next? 

Please advise us as soon as possible if you wish to Accept, Rebook or Cancel your appointment. 

 

  1. Accepting an appointment 
    Once you have Accepted your appointment your appointment will appear in the “Current” tab. You can access the “Current” tab at any time to view  your appointment details and any important information about your appointment. 
     
  2. Rebook an appointment 
    If you are unable to attend your appointment, but still need an appointment please choose Re-book. You will asked why you do you need to rebook. The contact centre team will aim to call you within 48 hours to arrange a new date and time for your appointment.

    You may be added back on to the waiting list if no appointment is available at that time. 
     
  3. Cancel an appointment 
    If you no longer require the appointment, please click “Cancel”. You will be asked why you no longer require the appointment, and provide a reason. Please note this option may remove you from the waiting list and no further appointments will be sent for this care pathway.

    You may also receive a call from the booking team to confirm this decision. 

 

If I have accepted an appointment, can I change this in the future? 

Yes, you can either re-book, or cancel a previously accepted appointment up to 48 hours before the appointment. You can find these appointments under “Current”. However, if you wish to re-book or cancel your appointment within less than 48 hours’ notice, you MUST contact us straight away.

Contact details can be found on your appointment letter. 
 

Can Hywel Dda Post provide me with a diary reminder? 

Yes, under the appointment information tab, click on the diary button to insert a reminder into your smartphone or computer calendar. 

How do I access my appointment letters online? 

Within the Hywel Dda Post hub you will see an option called “Letters”.  When you click on this option you will see two further tabs: 

  • Unread – letters that have not yet been accessed or opened by you through the Post hub. 
  • Read – letters that have been opened by you through the Post hub 

There is also a link to your letter that can be found in your appointment details.  

 

How long do you store my letters online? 

Your letters will be stored in Post hub for up to two years. You can download copies and save on your computer, tablet device or phone. You can also print off a copy at home should you need to do so. 

I am having problems accessing Hywel Dda Post, what should I do? 

If you are having trouble accessing the Hywel Dda Post hub, please check your internet connection.  You need to be using one of the following internet browsers: 

  • Microsoft Edge 
  • Chrome 
  • Firefox 
  • Safari 
  • Chrome for Android 
  • Chrome for iOS 
  • Safari for iOS 

If you have an internet connection and can get to the home page, but you are having problems logging in, please check the following: 

  • You are entering the correct mobile number or the email address; 
  • You are entering your date of birth using this format: DD/MM/YYYY.  

If you are still having trouble, please call us on 0300 303 9642 and one of the contact centre team will help you. Phone lines are open Monday to Friday from 8.00am until 5.00pm (except Bank Holidays). 

 

What should I do if I have been locked out of my account? 

If you incorrectly enter the wrong 6-digit authentication/security code, you will see the following message displayed “Password incorrect. Account has been locked. Consult your system administrator”If this happens, please wait for 15 minutes until your account is automatically unlocked, and then try again. 

If you are still having trouble, please call us on 0300 303 9642 and one of the contact centre team will help you. Phone lines are open Monday to Friday from 8.00am until 5.00pm (except Bank Holidays). 

 

Do I need to download the Hywel Dda Post as an App from an App Store? 

No, there is no need to download an App as this is a website (not an App). 
 
For your appointment, you will be sent a link to the Hywel Dda Post hub website in a text message or an email. You can access this website at any time. For easy future access, you can save this link as a favourite on your device browser.

Each time you log in, you will be sent a new six digit security code. There is no need to remember a username and password. 

 

Is the link to the Hywel Dda Post always the same? 

Yes, the link will always be the same. You can refer to your text message or email at any time to access your appointment details. Every time you are notified about an appointment, you will get a reminder of the link.  

Use the same link if you want to go back into your appointment details in the Hywel Dda Post hub. For easy future access, you can save this link as a favourite on your device browser.

What authentication does Hywel Dda Post hub use? 

Hywel Dda Post uses two-factor authentication. You begin the log in process by entering your mobile number or email address and then your date of birth.  

To complete the log in process, you will be sent a six digit security code by text message, or by email. This code can only be used once. The next time you log in, you will get a new six digit code. 

 

Do I need to remember a username and password? 

No, you do not have a username or password. 

 

Is the Hywel Dda Post hub secure? 

Yes, the Hywel Dda Post hub is designed with security in mind. The text message or email regarding your appointment will be sent to you by us. Once you click on the link, you will be asked for two forms of identity (the two factor authentication).  

You will need to log in with either your mobile number or email address along with your date of birth. Only after this stage will a six digit authentication code be sent to you to complete the secure log in.
